Elevate Travel Guidelines

Please read through the guidelines carefully. Any special requests or deviations to required programming attendance will require approval prior to registration and booking travel through Elevate Chair, Tiffani Ziemann, at elevatesdt@gmail.com.

Collegian Travel Guidelines

Hotel

  • If you are driving 3 hours or more or flying in, SDT will pay for hotel rooms for Friday night.
  • If you are driving 5 hours or more or flying out on Sunday, SDT will pay for hotel rooms for Friday and Saturday nights.
  • The number of rooms provided will depend on the number of chapter delegates (4 sisters to a room when applicable).
  • Hotel reservations will be made by the national office. Chapters are not to make their own reservations or contact the hotel directly. Please direct all hotel questions to the national office.

Transportation

  • If you are driving, you will be reimbursed 40 cents per mile. Please use as few vehicles as necessary (e.g., 10 members = 3 vehicles).
  • Chapters that are driving must arrive before the 9 am registration and cannot depart until after 5 pm.
  • If you have more than a 4-hour drive, you may elect to fly, train, or hire a van/bus service depending on which is more economical. Transportation will be handled by the Chapter President with the national office and the approved travel agency. Chapter members are NOT to book their own travel as there will be no reimbursements for travel booked independently.
  • Chapters using purchased transportation must arrive by Friday night and depart no earlier than 7 pm on Saturday. 

Meals

  • If you are staying at the hotel Friday night, your Saturday breakfast will be covered.
  • Lunch on Saturday is included for everyone.
  • Other meals (Friday/Saturday dinner and Sunday breakfast) should be covered by the chapter.

What to Bring & Wear

  • Business casual (in SDT colors if possible)
  • Torch badge
  • Phone charger
  • Note taking supplies
  • Transportation tickets and photo ID if applicable

Cancellation

  • If an individual cancels, and the chapter is unable to fill the vacancy, that member may be responsible for any costs the chapter incurs.
  • The national organization will be covering all costs above $20 for the training (meals, materials, etc.). The individual will be responsible for repayment of those costs, as well as any travel and/or hotel charges and cancellation fees.

Regional Chapter Services Volunteer Travel Guidelines

Hotel

  • We encourage all Regional Chapter Services Volunteers, including those who live locally, to stay overnight on Saturday to take full advantage of this time with your sisters. Saturday programming ends at 10 pm and Sunday programming begins at 8 am.
  • If you are driving 3 hours or more or flying in, SDT will pay for Friday night hotel room as well.
  • 2 volunteers to a room when applicable. 
  • Hotel reservations will be made by the national office. Volunteers are not to make their own reservations or contact the hotel directly. Direct any hotel questions to the national office.

Transportation

  • If you are driving, you will be reimbursed 40 cents per mile. If traveling with other local volunteers, please carpool when applicable.
  • Volunteers who are driving must arrive by 8 am on Saturday.
  • If you have more than a 4-hour drive, you may elect to travel by air or train, whichever is more economical and logistically convenient. Volunteers are to book their own travel and must get prior approval for expenses more than $350 by Emily Freed, National Secretary/Treasurer. Expenses for shuttles, airport or train station parking, and luggage are not reimbursable. 
  • Volunteers flying or taking the train must arrive by Friday night and depart no earlier than 3 pm on Sunday. 

Meals

  • If you are staying at the hotel Friday night, your Saturday breakfast will be covered.
  • Lunch and Dinner on Saturday, as well as breakfast and lunch on Sunday will be covered. 
  • All other beverages and meals are to be covered by the volunteer and will not be reimbursed.

Cancellation

  • If a volunteer cancels, she may be responsible for any costs the national organization incurs including meals, materials, and travel and hotel charges and cancellation fees.
